Why invoices go late
Most of the time it isn’t a bad client. It’s:
- The invoice got buried.
- It went to the wrong person.
- They’re waiting on their own client to pay them.
That’s why the first messages are friendly. You only get firm once a friendly nudge hasn’t worked.
The reminder schedule
| When | Message | Tone |
|---|---|---|
| 2–3 days before | Heads-up | Friendly |
| Day 1 late | Gentle nudge | Friendly |
| Day 7 late | Direct question | Polite |
| Day 14 late | Clear deadline | Firm |
| Day 30 late | Final notice | Firm, calm |
3 things that make every reminder work
- Always include the link. Make paying a one-click job.
- Name the invoice number, amount and date. Vague reminders are easy to ignore.
- Ask a question. “Is anything holding it up?” gets a reply. “Just checking in” doesn’t.
Late payment FAQ
How do I politely ask a client for late payment?
Assume it’s an oversight first. Send the invoice number, amount, due date and a payment link, and ask if anything is holding it up. Get firmer only as the days add up.
When should I send a late payment reminder?
A heads-up 2–3 days before the due date, then on day 1, day 7 and day 14 overdue, then a final notice around day 30.
Can I charge a late fee?
Only if it’s in your contract or terms. If it isn’t, add it to your terms for future projects rather than inventing one now.
Should I stop working if a client doesn’t pay?
If your agreement allows it, pausing work after a clear warning is reasonable. Tell them the date work will pause before you do it.
Email or DM for payment reminders?
Use whatever channel you usually talk on, but send anything firm (day 14 and the final notice) by email so you have a written record.
